The Privacy Policy, Copyright & Authorized Use Policy of The United Monarchy of Giezwa (“UMG”) explains how UMG may collect, use, protect, retain, disclose, verify, correct, and preserve information obtained through its website, communications, registries, programs, events, digital systems, applications, public records, and other authorized institutional activities. It also explains the rules governing the use of UMG publications, photographs, videos, records, designs, logos, crests, seals, written materials, intellectual property, and other content appearing on UMG-controlled platforms.

This policy applies across the broader institution of The United Monarchy of Giezwa, including its public website, Crown and Royal House materials, Office of the Monarch, Ministries, institutions, Public Administration, Citizens in Waiting, Royal traditions and events, development initiatives, education and technology programs, international-development activities, archives, media, public records, applications, credential systems, and other authorized UMG functions.

UMG's central privacy principle is:

COLLECT ONLY WHAT IS NEEDED.
EXPLAIN WHY IT IS NEEDED.
PROTECT WHAT IS PRIVATE.
PUBLISH ONLY WHAT IS APPROVED.
PRESERVE THE RECORD.

This policy applies when a person visits the UMG website, subscribes to official communications, submits an inquiry, joins an email list, registers for an event, applies for a UMG program or status, participates in a UMG activity, communicates with an authorized UMG office, receives a credential, appears in an approved UMG public record, or otherwise interacts with an authorized UMG service.

Some UMG programs may require additional privacy notices, participation agreements, contracts, releases, consent forms, terms of use, or program-specific policies.

Where a specialized policy applies, it should be read together with this policy.

Depending on the nature of the interaction, UMG may collect basic contact or identifying information such as a person's name, approved display name, email address, telephone number, mailing information, organization, professional affiliation, public role, or other information voluntarily provided.

Where a person applies for a program, opportunity, membership status, appointment, event, credential, educational initiative, partnership, or other UMG activity, UMG may request additional information reasonably necessary to evaluate eligibility, administer the program, communicate decisions, protect safety, prevent fraud, or maintain an accurate institutional record.

UMG may also maintain administrative information including application dates, status history, approval records, credential status, program participation, corrections, acknowledgments, appointment dates, archived correspondence, or other information reasonably necessary to maintain continuity and institutional records.

UMG's existing public policies already establish that information collected for participation should be reasonably connected to administration, safety, compliance, eligibility, or the particular program involved. 

When a person contacts UMG through a public form, email address, public inquiry system, or another authorized channel, UMG may retain information reasonably necessary to respond, route the inquiry, preserve correspondence, protect the institution, prevent abuse, or document significant official communications.

The public may contact UMG regarding matters such as its institutional structure, Royal House, Citizens in Waiting, public documents, media inquiries, professional services, programs, events, partnerships, development initiatives, education and technology, international engagement, public verification, archives, publications, or other authorized UMG activities.

A general contact form should not be used to submit highly sensitive information unless UMG specifically requests that information through an authorized secure process.

Sensitive information may include Social Security numbers, passwords, banking credentials, full government identification documents, biometric data, confidential legal documents, private information concerning minors, security-sensitive information, or other high-risk personal records.

Individuals may voluntarily provide an email address to receive UMG announcements, event updates, application notices, public publications, Royal House updates, Citizens in Waiting notices, institutional announcements, or other approved communications.

UMG should collect only the information reasonably necessary for that communication.

For example, the Citizens in Waiting framework separates the Early Notice List from formal application and KYC records so individuals do not need to submit sensitive identity information simply to receive notice that applications have opened. 

Where appropriate, recipients should have a reasonable way to unsubscribe from non-essential communications.

Certain UMG programs may require applications, registrations, eligibility information, consent, supporting documents, professional information, or other program-specific materials.

UMG should request information reasonably related to the actual purpose of the program.

Different information may be maintained in separate systems or records instead of one unrestricted institutional database.

This can include communication records, application records, program records, appointment records, credential records, KYC records, event records, archive records, development records, international records, or other specialized institutional records.

UMG's Policies & Registry framework specifically supports separation between ordinary status information and sensitive evidence used to verify that status. 

Certain applications or sensitive programs may require KYC, identity verification, compliance screening, age verification, parental or guardian consent, background review where lawful, or another enhanced verification process.

The purpose may include confirming identity, preventing impersonation, reducing duplicate or fraudulent applications, verifying eligibility, meeting legal or contractual requirements, or protecting the integrity of UMG records.

Sensitive KYC evidence should be treated as restricted information.

Public UMG records should generally record only the minimum necessary verification result rather than exposing the underlying identification document or raw verification information. 

Before a formal KYC process is launched, UMG should disclose the major information being requested, the purpose of verification, whether an outside provider is used, and the relevant privacy practices. 

KYC verification by itself does not establish citizenship, nationality, immigration rights, residency, diplomatic status, government-issued identification, or another external governmental status.

Certain records may remain restricted because public disclosure could create privacy, legal, financial, family, contractual, professional, or security concerns.

Restricted information may include government identification documents, identification numbers, biometric or facial-verification information, financial or banking information, private addresses, private telephone numbers, private email addresses, background-review information, passwords, confidential contracts, privileged legal information, confidential negotiations, internal administrative notes, security-sensitive records, sensitive family information, information concerning minors, private lineage evidence, custody information, or other protected records.

UMG's existing Policies & Registry framework expressly distinguishes public-safe information from restricted identity, KYC, financial, family, and minor-related information.

Certain information may be intentionally published when appropriate to UMG's public mission.

Examples may include an approved public name, Royal title, institutional appointment, professional role, authorized biography, approved photograph, public event participation, publication credit, historical milestone, official credential-verification result, program participation, or another record specifically approved for public release.

The existence of information inside UMG records does not automatically authorize its publication.

PUBLIC TRANSPARENCY DOES NOT REQUIRE PUBLIC DISCLOSURE OF PRIVATE FILES.

The UMG Monarch Dynasty and Royal House are part of UMG's public historical and institutional identity.

UMG may publicly preserve approved titles, Royal relationships, succession classifications, ceremonies, public biographies, official portraits, major milestones, public appearances, and other information intended for the historical record.

Royal status does not eliminate personal privacy.

Sensitive civil information, private addresses, medical information, government identification, private lineage evidence, financial records, inheritance information, custody matters, personal correspondence, security-sensitive information, or other private family information may remain restricted.

UMG recognizes that information concerning children requires additional protection.

Programs involving minors may require age restrictions, parental or guardian consent, limited public visibility, restricted communications, child-safety procedures, and additional privacy safeguards.

UMG's existing Citizens in Waiting framework already recognizes enhanced consent and privacy considerations for minors. 

UMG should avoid unnecessarily publishing a child's home address, school information, government identification, medical information, biometric information, custody information, precise location, or other sensitive details.

Participation by a child in a Royal, cultural, educational, family, ceremonial, or institutional activity does not automatically authorize unrestricted publication of private information.

Information may be used for legitimate purposes such as operating the UMG website, responding to inquiries, communicating official notices, processing applications, administering registries, determining eligibility, maintaining programs, managing events, verifying credentials, preventing fraud, protecting UMG intellectual property, administering appointments, preserving records, maintaining archives, performing security functions, evaluating partnerships, conducting authorized development work, supporting international communications, complying with applicable obligations, and preserving the Founding Era record.

UMG should not collect sensitive information simply because that information might someday be useful.

COLLECT FOR A PURPOSE.
USE FOR THAT PURPOSE.
PROTECT THE RECORD.

UMG websites or authorized service providers may process technical information necessary to operate and protect digital systems.

Depending on the technology actually implemented, this may include IP addresses, browser information, device information, operating system data, approximate technical location information, pages viewed, dates and times of access, referral information, error logs, and security logs.

This information may be used for security, fraud prevention, website performance, troubleshooting, accessibility, service improvement, or understanding general website activity.

The UMG website may use cookies or comparable technologies to operate website features, remember settings, maintain security, analyze performance, or support other disclosed functions.

Where applicable law requires notice or consent for non-essential cookies or tracking technologies, UMG should provide the appropriate choices.

If UMG later introduces significant advertising, analytics, cross-site tracking, or similar technology, this policy and any separate cookie notice should be updated accordingly.

UMG may rely upon third-party providers for website hosting, email, forms, cloud services, event systems, payment processing, cybersecurity, KYC, identity verification, credential systems, communications, analytics, or other institutional services.

Providers should receive only information reasonably necessary to perform the service assigned to them.

Those providers may operate under their own privacy policies and legal obligations.

Where a third party will process sensitive KYC or identity information, applicants should be informed before that process occurs. 

If UMG accepts registration fees, event payments, purchases, donations, subscriptions, program fees, or other authorized payments, payment information may be handled through an authorized payment processor.

UMG should avoid retaining complete payment-card information when a qualified provider can process the transaction.

Certain transactional records may be preserved where appropriate for accounting, compliance, contractual, refund, audit, or tax purposes.

UMG communicates and develops relationships internationally.

Information may therefore be transmitted to or processed by individuals, professionals, organizations, providers, institutions, or partners operating in different jurisdictions where necessary for the legitimate activity involved.

Any such handling remains subject to the law applicable to the actual transaction, provider, jurisdiction, agreement, or relationship.

Confidential international negotiations do not become public merely because UMG maintains a public International Development section.

UMG may share information with authorized offices, staff, Ministries, institutions, advisors, contractors, professional providers, legal counsel, technology providers, event administrators, verification services, or other parties where reasonably necessary for the relevant activity.

Information may also be disclosed where required by applicable law, valid legal process, a competent governmental authority, protection of legal rights, fraud investigation, cybersecurity response, safety concerns, or another lawful requirement.

Public information may be shared or published where public release is part of the relevant program or institutional record.

Information maintained by UMG may fall into different record categories.

Public records are materials specifically approved for public access.

Administrative records support ordinary UMG operations.

Restricted records contain information whose access should be limited.

Archival records preserve institutional history and may themselves contain public or restricted components.

Providing information to UMG does not automatically mean that information becomes public.

This distinction follows the institution-wide principle that public transparency does not require disclosure of restricted identity, family, KYC, legal, financial, security, or confidential records. 

UMG should use reasonable administrative, organizational, technical, and contractual safeguards appropriate to the sensitivity of the information involved.

These protections may include access controls, authentication, secure transmission, restricted administrator privileges, service-provider protections, encryption where appropriate, backups, record classification, security monitoring, credential controls, logging, and incident-management procedures.

No website, database, electronic transmission, or storage system can be guaranteed to be completely secure.

Visitors should therefore avoid sending unnecessary sensitive information through ordinary public channels.

UMG's institution-wide privacy standard is:

COLLECT WHAT IS REASONABLY NECESSARY.
USE IT FOR THE STATED PURPOSE.
RESTRICT ACCESS ACCORDING TO ROLE.
PROTECT IT WITH REASONABLE SAFEGUARDS.
DO NOT PUBLISH SENSITIVE INFORMATION MERELY BECAUSE IT EXISTS.

This principle is already established within UMG's registry policies and should be applied throughout the wider institution. 

UMG may retain information for as long as reasonably necessary for the purpose for which it was collected or for legitimate administrative, legal, financial, contractual, historical, archival, security, fraud-prevention, or institutional purposes.

Different categories of information may have different retention periods.

Historical preservation does not necessarily require indefinite public exposure of underlying personal information.

Applicable law controls where it establishes mandatory retention, deletion, correction, disclosure, or other data requirements.

Individuals may contact UMG to request correction of inaccurate personal information maintained in an appropriate UMG record.

Depending upon applicable law, individuals may also possess rights concerning access, deletion, restriction, objection, portability, disclosure, or other privacy matters.

Those rights depend upon the relevant jurisdiction and circumstances.

UMG's internal administrative procedures do not eliminate legal rights or remedies that exist independently under applicable external law. 

Correcting private or inaccurate information is different from rewriting history.

UMG may correct a record while preserving an appropriately labeled prior version when legitimate archival or historical reasons exist.

UMG's larger institutional framework favors dated updates, version control, amendments, status changes, and preserved historical editions rather than silent rewriting of the Founding Era record.

If UMG becomes aware of unauthorized access, disclosure, loss, alteration, or misuse of protected information, the matter should be appropriately documented, reviewed, contained, and addressed.

Where applicable law requires notice to affected individuals, regulators, authorities, or other parties, UMG should follow those requirements.

UMG-controlled websites may contain links to government websites, professional firms, service providers, payment companies, social-media platforms, partner organizations, publications, or other external websites.

The appearance of a third-party link does not automatically mean UMG controls that third party's privacy practices.

Visitors should review applicable third-party privacy policies before providing sensitive information.

Information voluntarily posted to public social-media platforms may be visible to the public and subject to the platform's own rules.

Social-media messaging should not be used to transmit sensitive identification documents, KYC materials, banking information, passwords, highly confidential legal materials, or similar private records unless an authorized secure process has specifically been established.

UMG may photograph, film, livestream, record, publish, or archive certain Royal ceremonies, public events, interviews, educational activities, institutional milestones, media appearances, or other authorized activities.

Where appropriate, event-specific registration terms, notices, releases, or participation policies should explain photography, video, livestreaming, publication, or archival practices.

Private or restricted events may operate under different rules.

All original content published, created, commissioned, owned, licensed, or otherwise lawfully controlled by The United Monarchy of Giezwa remains protected to the extent available under applicable copyright, trademark, unfair-competition, contractual, and other intellectual-property laws.

Protected UMG materials may include written website content, official books, policies, Royal Decrees, governing publications, biographies, photographs, portraits, videos, films, graphics, illustrations, diagrams, architectural concepts, ceremonial documents, archives, designs, layouts, seals, crests, flags, logos, slogans, names, audiovisual materials, downloadable publications, digital assets, and other original works.

The fact that a UMG work can be viewed publicly online does not mean the material has been placed into the public domain.

Except where expressly authorized by UMG or permitted independently by applicable law, UMG-protected materials may not be copied, reproduced, duplicated, republished, redistributed, uploaded, transmitted, sold, licensed, materially modified, commercially exploited, falsely attributed, or incorporated into another publication, website, platform, commercial product, promotional campaign, or database without appropriate authorization.

Downloading a public UMG publication for personal reading does not automatically authorize commercial distribution, resale, modification, removal of attribution, or representation of the material as belonging to someone else.

The ability to see, read, stream, download, or access information on a publicly available UMG page does not by itself transfer ownership.

Public availability does not automatically constitute a waiver, assignment, unrestricted license, abandonment, or transfer of UMG's applicable intellectual-property rights.

PUBLIC ACCESS DOES NOT MEAN PUBLIC OWNERSHIP.

Official UMG publications, documents, records, credentials, policies, Royal materials, appointment documents, registry confirmations, seals, certificates, or other materials should not be altered and then represented as authentic UMG records.

No person should crop, rewrite, digitally manipulate, add language to, remove notices from, modify identifying information in, or otherwise alter UMG official material and falsely represent the modified version as an authorized, complete, current, or authentic UMG publication.

Historical materials may be discussed or quoted where permitted by law, but older or modified records should not be falsely presented as current controlling UMG documents.

UMG names, logos, seals, crests, flags, institutional marks, slogans, program names, Royal House branding, titles, symbols, and other distinctive identifiers may be protected through copyright, trademark, common-law rights, registration, contract, or other applicable protections.

Use of UMG branding may not falsely suggest sponsorship, appointment, endorsement, accreditation, partnership, governmental recognition, affiliation, authorization, or representation by The United Monarchy of Giezwa.

No person or organization should use UMG branding to impersonate the Crown, Royal House, Office of the Monarch, Ministries, institutions, programs, representatives, or authorized UMG personnel.

Publicly available UMG photographs, Royal portraits, event images, livestreams, interviews, films, documentaries, promotional images, graphics, and archival media may remain protected even though they are visible to the public.

Public viewing does not automatically authorize commercial merchandise, advertising campaigns, false endorsement, removal of attribution, publication as another person's property, or deceptive manipulation of the media.

Third-party works displayed through a UMG platform remain subject to the rights of their respective owners where applicable.

UMG materials may not be used to falsely represent that another individual, organization, business, website, social-media account, government, institution, publication, product, or service is officially connected with, appointed by, authorized by, endorsed by, affiliated with, or acting on behalf of The United Monarchy of Giezwa.

Unauthorized creation of counterfeit UMG credentials, appointments, certificates, Royal communications, seals, official documents, registry confirmations, or institutional records is prohibited to the extent provided by applicable law.

Except where expressly authorized or independently permitted by applicable law, users should not use automated tools, crawlers, bots, bulk-download systems, scripts, or similar technologies to systematically reproduce or compile substantial portions of protected UMG website content, publications, archives, images, records, or databases.

Technical accessibility does not itself constitute authorization for unrestricted copying.

UMG content may not be used to create deceptive synthetic documents, counterfeit credentials, fabricated Royal communications, fake institutional statements, false government records, misleading voice or video impersonations, or AI-generated materials represented as authentic UMG-issued content.

AI-assisted works that reference or transform UMG materials should not be represented as official, approved, issued, endorsed, or authorized by The United Monarchy of Giezwa unless UMG has expressly approved that specific use.

Nothing in this section attempts to prohibit a use that applicable law independently allows.

Nothing in this policy is intended to eliminate legal rights that applicable copyright law or other law independently provides.

Legitimate uses may include certain forms of quotation, criticism, commentary, news reporting, scholarship, research, education, or other lawful uses depending upon the circumstances.

Where UMG material is quoted or referenced, attribution to The United Monarchy of Giezwa should be provided where appropriate, and the material should not be deceptively altered in a manner that materially misrepresents the original source.

Facts, ideas, procedures, systems, historical events, and other subject matter that applicable law does not protect as exclusive intellectual property are not transformed into proprietary material merely because they appear on a UMG webpage.

Accessing the UMG website does not automatically create an intellectual-property license.

Joining an email list, communicating with UMG, attending an event, participating in Citizens in Waiting, receiving a credential, purchasing a product, becoming a partner, appearing in a publication, or participating in a UMG program does not automatically authorize unrestricted use of UMG intellectual property.

Any permission granted by UMG may be limited by purpose, duration, platform, territory, audience, attribution requirements, or other written terms.

UMG may display, quote, reference, link to, license, or otherwise use material owned by outside parties.

Ownership of third-party material remains with the applicable rights holder unless a lawful transfer or agreement provides otherwise.

Nothing in this policy should be interpreted as UMG claiming ownership of material that lawfully belongs to another person or organization.

Suspected copyright infringement, trademark misuse, impersonation, counterfeit credentials, altered UMG records, unauthorized commercial reproduction, misuse of Royal imagery, or other suspected misuse of UMG intellectual property may be reported through the official Contact Us channel.

A report should identify the material involved, where the suspected misuse appears, and sufficient information for UMG to review the issue.

Sensitive personal information should not be unnecessarily included in a general infringement report.

UMG may update this Privacy Policy, Copyright & Authorized Use Policy as its website, registries, technology, KYC systems, programs, Ministries, institutions, international relationships, development projects, intellectual-property portfolio, service providers, and legal obligations evolve.

Material changes should be accompanied by an updated effective or revision date.

Prior editions may be preserved where appropriate as part of UMG's Founding Era institutional archive.

Questions concerning privacy, correction of personal information, website records, copyright, trademark use, licensing, official UMG materials, suspected impersonation, or another matter covered by this policy may be directed through the official Contact Us system.

Please provide enough information to identify the relevant matter without unnecessarily transmitting sensitive information.

UMG may request appropriate identity verification before processing a sensitive privacy or record request.

Information and materials appearing on the official website and authorized platforms of The United Monarchy of Giezwa remain subject to applicable intellectual-property, privacy, contractual, archival, and legal protections.

UMG materials should not be copied, duplicated, altered, falsely reproduced, republished as another person's work, used to impersonate UMG, used to manufacture counterfeit UMG documents or credentials, or used to falsely claim UMG endorsement, appointment, partnership, sponsorship, Royal authority, or institutional authorization.

Public access does not itself establish permission for unrestricted commercial use, copying, alteration, scraping, republication, impersonation, or redistribution.

At the same time, nothing in this notice is intended to restrict lawful uses, rights, exceptions, or remedies independently provided under applicable law.
